Job Summary: The Office Manager will serve as the critical and logistical linchpin for our WISE (Workforce Development, Integration & Stability, Economic Empowerment) Initiative. Functioning as the Director’s “right hand,” this role bridges operations across our Virginia Beach and Hampton offices.

Schedule: Full-Time; Monday – Friday, 8:30AM – 5:00PM.
Salary: $38,000 – $45,000 commensurate with experience
Location: Split between Virginia Beach and Hampton, Virginia. Requires flexibility between physical locations.

Key Responsibilities 

  • Executive & Operational Support: Manage high-level calendars, scheduling, and coordinate seamlessly between our Virginia Beach and Hampton office locations as operational needs shift.
  • Grant Research Engine: Proactively research federal, state, regional, and private grant opportunities to support the initiative’s long-term sustainability and assist in compiling background metrics for competitive proposals.
  • Data Integrity & Reporting: Serve as the primary administrator migrating participant records into secure reporting networks with 100% data accuracy and construct monthly impact summaries for executive leadership.
  • Diplomatic Liaison: Build professional relationships and handle communications across corporate environments and community stakeholders.

Qualifications & Skills 

  • Experience: 2–4 years of progressive administrative or executive support experience (non-profit or human services background highly preferred).
  • Location Flexibility: Proven ability to work fluidly and maintain high productivity while shifting between physical office locations.
  • Research Savvy: Strong foundational research capabilities, particularly in identifying prospective corporate, foundation, and federal fund developments.
  • Data Fluency: Exceptional technical competency in data entry, record management, and database tracking.
  • Communication: Exceptional verbal and written communication skills with a highly professional demeanor.

Physical Requirements 

  • Prolonged periods of sitting at a desk and working on a computer. 
  • Must be able to lift up to 20 pounds as needed.
